Motor Factory Procurement: Four-Stage Supplier Documentation and Timeliness Guide

From initial screening to small-batch trial production, each stage of motor manufacturing requires suppliers to provide complete documentation and respond promptly. Initial Selection & Request for Quote

During the preliminary selection phase, suppliers must submit their qualification package within 24 hours, including business license and ISO 9001 certification. For automotive motor suppliers, IATF 16949 certification is also required. Stator and rotor core suppliers should simultaneously describe their IT6 machining capabilities and key equipment configurations. Fastener suppliers must provide a prototyping timeline, with a standard delivery period of 7 days for samples.

Enter the RFQ stage. Suppliers must submit quotes within 48 to 72 hours, including unit price, mold cost, minimum order quantity (MOQ), lead time, and payment terms. Stator and rotor core quotes require a drawing confirmation process and specify silicon steel grades. Fastener quotes must include surface treatment specifications and salt spray test standards.

Factory Audit and Trial Production

During the factory audit, suppliers must prepare a Process Control Plan, calibration certificates for measuring instruments, and inspection records from the past six months. Stator and rotor core suppliers must possess G2.5 grade dynamic balancing capabilities and provide on-site verification; fastener suppliers must submit torque test reports. If non-conformities are identified after the audit, a corrective action report must be submitted within 7 working days.

The pilot run cycle typically takes 15 to 20 days. Shipment documentation includes material certificates, dimensional inspection reports, and COC. Stator and rotor cores must be accompanied by batch-specific dynamic balance data; fasteners must include salt spray test results. The First Article Inspection (FAI) report must be submitted within 3 working days after production completion.
